General Expectations for Instructors
- To tutor students through the online video platform Zoom in instruments requested by students and assigned by Notelove.
- To schedule tutoring sessions with students and/or their parents and attend sessions on time.
- To be flexible to any changes necessitated by the student, logistical or otherwise, that occur outside of Notelove Boston’s control.
- To direct discussions during tutoring sessions to the academic subject matter, while allowing time, within reason, for friendly conversation.
- To communicate with Notelove staff if any interpersonal, technical, or logistical issues arise.
- To assist Notelove staff in maintaining a safe and effective learning environment for enrolled students.
Conduct
- Maintain the highest level of conduct while tutoring and representing Notelove at any community events and during online correspondence with students.
Absence and Tardiness Policy
- Notify us at least one day (24 hours) in advance if you need to miss a session you have already scheduled with your student. Repeated absences or last-minute cancellations may result in dismissal from the Notelove program. If you would like to discontinue your service with Notelove Boston, notify us at least three days in advance to allow time for us to find a replacement instructor for your student.
Confidentiality of Student Information
- As an instructor, you will have access to confidential information about your student’s personal or sensitive information (such as name, grade, phone number, and email address) when Notelove Boston assigns you a student. Do not share this information with anyone for any reason other than the Notelove Boston staff. Do not access, use, or share information from Notelove for any other reasons, in accordance with legal requirements.
Interacting with Students Outside of Notelove Boston
- We encourage you to interact with and mentor students during lesson sessions, but you may not interact with students or their parents outside of the online tutoring environment.
Reporting Unusual Behavior and/or Concerns for Student Well-Being
- It is the our policy to do everything in our power to prevent physical, emotional, or sexual abuse against children, youth, adults and other vulnerable populations, including people with developmental disabilities who are involved with our operations. As such, you agree to be aware of your legal responsibilities and to act justly in the best interest of those who have been abused or those who are most vulnerable to abuse.
- You understand that all Notelove staff are mandated child abuse reporters. As a tutor, you may receive information or have concerns for a student’s well being. If a student alleges abuse by an adult, notify a Notelove Boston staff person immediately so we may file a Child Protective Services report within 48 hours of receiving this information.
- You understand and agree to immediately report the following to a Notelove staff member:
- Incidents of physical harm, verbal threats of harm, and racial or other intolerances Incidents that involve physical harm, verbal threats of harm, racial or other incidents that occur between students, instructors, volunteers, and/or staff during Notelove Boston sessions must be reported and documented. If you witness such an incident, inform staff immediately. Staff will document such incidents and follow up with proper actions and authorities.
- Suspicion of Physical, Emotional, or Verbal Abuse and Neglect All staff are bound by law to report any suspicion of child abuse or neglect. instructors must report any suspicion of child abuse or neglect to the site coordinator immediately. Some signs to watch out for are crying or sleeping during a tutoring session, physical discomfort, tardy or truant behavior, self-deprecating or suicidal talk, concern about making family contact, and self-medication through substance use. If you suspect that a student is being physically, emotionally, or verbally abused or neglected, immediately report this to Notelove Boston staff.
- Other Unusual Incidents or Concern for Student Well-Being If you observe or suspect any activity involving Notelove Boston students, volunteers, instructors, or staff that appears unusual or cause for concern, immediately report this to Notelove Boston staff. When in doubt about whether to report an incident or suspicion, always consult Notelove Boston staff.
Harassment
- Notelove Boston believes that every staff member and volunteer has the right to work in an environment free from harassment and will not tolerate harassment based on race, color, creed, religion, national origin, sex, sexual preference or orientation, disability, age, marital status, or status with regard to public assistance.
General Release and Waiver of Liability
- You acknowledge that you are voluntarily tutoring with Notelove Boston. YOU VOLUNTARILY, KNOWINGLY AND FREELY ACCEPT AND ASSUME ALL RISK, BOTH KNOWN AND UNKNOWN, EVEN IF ARISING FROM THE NEGLIGENCE OF Notelove Boston STAFF, arising from your participating in the tutoring activity and from damage that may be sustained while participating in the tutoring activity and thus assume full responsibility for your participation.
- In consideration of being permitted to tutor students, you agree that you and your heirs, personal representatives, executors and assigns will not make a claim of any type against or sue Notelove Boston, its predecessors, successors, parents, subsidiaries, affiliates, and present and former officers, directors, employees, insurers, agents, assigns and representatives (these are collectively referred to in this agreement as the “Released Parties”) for any injury or damage arising from the negligence or other acts, however caused, of the Released Parties or anyone else related to or in any way connected to the tutoring activity.
- In addition, you release, waive and discharge the Released Parties from all actions, claims or demands that you, your heirs, and personal representatives, or assigns now have or may hereafter have for injuries, including permanent disability and death, property damages, or theft resulting from your participation in the tutoring activity. This release includes injury or damage caused by negligence, active or passive, of the Released Parties.
This release shall be governed by applicable state law.
Enforcement of Tutor Code of Conduct
- Any breach of the Tutor Code of Conduct and Agreement may result in your immediate termination or expulsion from the Notelove Boston platform. If Notelove Boston has any reason to believe that you are not adhering to this agreement, we may place you on temporary suspension pending a full investigation. Should any part of this agreement be deemed unenforceable, the remainder of the agreement shall remain in effect.
Parent/Guardian Agreement
- When you agree to this document, you agree to your child joining the program and acknowledging that you are solely responsible for determining the child’s suitability for the program, evaluating the qualifications and sessions of the instructor, and determining whether or not your child should continue with the program. You should feel free to attend any tutoring session your child is enrolled in and contact Notelove Boston via email at [email protected] if there are any concerns. You may terminate the tutoring relationship set up by Notelove Boston at any time for any reason.
